Tips and tricks to get you started

1. Uploading content

Uploading content and structuring it is easy with BrandCloud.

The biggest charm is the smartpage, where you can add several elements that compose the content of the page.

• Page - forms the blocks of each smartpage, you can use it to divide the page content into structures, forming the block headings.
• Heading - creates headings/subheadings in the individual blocks created by the page.
• Text - allows you to insert any content description, information, etc.
• Color - for inserting e.g. company colors, which you can accurately represent on the page using RGB code (useful e.g. when creating a corporate identity manual).
• Table - provides any number of columns and rows with descriptions for creating a table with all the necessary data.
• Embed - allows you to combine your workflow into one and get rid of a lot of browser tabs. For example, you can nest your email inbox, files from Google Docs, Sheets and Slides or any other arbitrary pages.
• File - one of the most important elements of the page, it allows you to upload your files to the page and link BrandCloud with Canva templates.

There can be an infinite number of elements on each smartpage, so there are no limits to your creativity. :)

2. Data organisation

You can upload your materials to the smartpages and further structure them into folders.

You can create the structure using the "New document", "New folder" buttons, or you can upload files dynamically via "Click or drop files anywhere to start upload", where a smartpage with your uploaded content is automatically created.

In BrandCloud you have two structures - tree structure and tile structure.

• The tree structure is located on the left side of the page, and by expanding the folders via the folder icon you can navigate to the materials you are looking for without redirection.
• The tile structure is what you'll find on the main page of your repository, where you can set custom thumbnails for folders and smartpages to improve both the visual aesthetic and orientation. 
  (They can be static - PNG, JPG... or dynamic - GIF).

3. Sharing with users

Users do not need to have a BrandCloud account to access the necessary files/folders. The platform provides three sharing methods.

1. By e-mail

E-mail sharing allows you to share the files you need straight from the repository. You just need to know the recipient's e-mail and you can also fill in the subject line, any message for the recipient, set the validity of the sharing and define the language in which BrandCloud will be opened for the recipient.

2. Through a link

If you need to embed a link to a chosen piece of content somewhere, you can name the share however you want, again choose the validity duration and the recipient's language. The link will be automatically copied to your clipboard.

3. Public user access

The public access setting is a bit more complex but allows you to select any parts of the structure that should be publicly accessible. Then any person visiting your BrandCloud can see the content you have selected directly without logging in.

Bonus:

Use the Add to share list button to make it easier to share multiple files from different parts of your BrandCloud. This way you can collect the materials you need to share one at a time and share them all at once, via e-mail or link, depending on your needs.

4. Searching content

Vyhledávání je využitelné hlavně ve chvíli, kdy buď spěcháte, nebo máte velmi obsáhlý BrandCloud.

• Vyhledáváte přes lištu Vyhledat v horní části stránky.
• Následně můžete využít filtrování dle složek pokud se klíčové slovo nachází ve více částech vašeho uložiště nebo filtrování dle tagů pokud je používáte.
• Filtrování by vám mělo umožnit se dostat k cílovému obsahu rychleji a snadněji.
• Také můžete vybrat, v jakém typu struktury klíčové slovo hledáte, zda na stránce souborů, v souboru nebo ve složce.

Searching is especially useful when you're either in a hurry or have a very comprehensive BrandCloud.

• You search via the Search bar at the top of the page.
• You can then use "Filter by folders" if the keyword is in multiple parts of your repository or "Filter by tags" if you use them.
• Filtering should allow you to get to your target content faster and easier.
• You can also select what type of structure you are looking for the keyword in, whether on a smartpage, in a file, or in a folder.
